How to edit the agent's WhatsApp templates

Edit the messages the agent sends with a template: first contact, follow-up, interview outcomes and manual rejection. Meta approves each template within 48 hours.

Updated on Oct 12, 2026

The agent uses WhatsApp templates to write to candidates: the first contact, the follow-up, the interview outcomes and the manual rejection. Every new or edited template must be approved by Meta (WhatsApp) before it can be sent.

Where to find it: sidebar → Agent

The agent's templates

Block on the Agent pageTemplateWhen it's sent
Opening TemplateApplicant (first contact)First message to the candidate
Follow-up TemplatesApplicant follow-upIf the candidate doesn't reply within 6 hours
Interview Outcome MessagesInterview - fit, Interview - not a fit, To hireWhen you enter the interview outcome
Manual rejection templateNot a fit - manualWhen you manually mark a candidate as not a fit

Steps

  1. Click Agent in the sidebar.
  2. Find the block of the template you want to change. For outcomes, first choose the message from the menu.
  3. Click Edit.
  4. Change the text. You can use variables like {{candidate_full_name}} and {{job_title}}.
  5. Click Save at the top right.
  6. Wait for Meta's approval: under the template you see the status, which changes to Approved.

Good to know

  • Meta approves templates within 48 hours. Until approval, the agent keeps using the previous version.
  • All templates have the footer Conversation handled by an AI assistant.
  • The message for candidates who don't show up to the interview (no show) can't be customized.
  • The closing message for candidates who say they're not interested is edited on the same Agent page.
  • For a template with an image, see Edit an agent template: text, image, variables and button.
  • Changes apply to messages sent after approval.

Common issues

The template doesn't show as Approved yet. Meta can take up to 48 hours. If it isn't approved after 48 hours, open a request from the support chat saying which template you edited.

The candidate got the old text. The message was sent before the new text was approved. From the moment of approval, the new one is sent.
