How to customize interview outcome and closing messages

Interview Outcome Messages and Manual rejection template

Steps

  1. Click Agent in the sidebar.
  2. In the Interview Outcome Messages block, choose the message from the menu (e.g. Interview - fit).
  3. Click Edit and change the text. You can use variables like {{candidate_full_name}} and {{job_title}}.
  4. Repeat for the Manual rejection template block.
  5. Click Save at the top right.

Good to know

  • Under each template you see its status, for example Approved. A new or edited template must be approved by Meta (WhatsApp) before it's sent: approval comes within 48 hours. See How to edit the agent's WhatsApp templates.
  • A template can have a button (e.g. a link to the company website). The message for candidates who don't show up to the interview (no show) can't be customized.
  • If you manually mark a candidate as not a fit (Not a fit - manual), the Manual rejection template message is sent.
  • All templates have the footer Conversation handled by an AI assistant.
  • The closing message for candidates who say they're not interested is also edited on the Agent page.
  • For opening templates and templates with an image, see Edit an agent template: text, image, variables and button.
  • To enter an interview outcome, see How to enter an interview outcome.

Common issues

I confirmed the wrong outcome and the candidate got the message. A sent message can't be recalled. An outcome already given can't be changed from the interview card: an admin user corrects it from the campaign by changing the candidate's status. In the meantime, write to the candidate yourself from the chat in Inbox.

The not-a-fit message is too cold. Rewrite it with Edit in the Manual rejection template block or in Interview Outcome Messages.

The candidate didn't get the outcome message. Check that the interview outcome was entered and that in Agent the template for that outcome shows as Approved. If everything looks right, open a request from the support chat with the candidate's name.
