How to start a collection automatically (activation)

Have the collection start on its own when a candidate reaches a status, for some campaigns or for all campaigns of a job role.

Updated on Oct 12, 2026

Automatic activation starts the collection on its own when a candidate reaches a chosen status. For example To be hired.

Where to find it: in three places.

  • In the collection: the Activation step during creation.
  • In the campaign: Settings tab → Linked collection.
  • In the job role: Connected collection section.

Steps: from the collection

  1. Create the collection with Create a collection and go to the Activation step.
  2. In Select when to activate the collection, choose the candidate status.
  3. In Define which campaigns or roles to activate the collection for, choose Campaigns or Roles.
  4. Click Select campaigns or Select roles and choose the ones you need.
  5. Click Launch collection.

Activation step: candidate status and choice of campaigns or job roles

Steps: from the campaign

  1. Open the campaign and go to the Settings tab.
  2. In the Linked collection block, click Configure collection.
  3. Choose the collection and the status in Choose when to activate the collection.
  4. Save.

Good to know

  • If you set activation on a job role, it applies to new campaigns associated with that job role. For campaigns already linked, use the campaign setting.
  • For other outcomes, the agent keeps using its outcome templates.
  • To remove the automation, use Remove collection in the campaign. Candidates will no longer be added to the collection automatically.
  • Without activation, the collection only starts on request. See How to start a collection manually for a candidate.
  • If the collection is Paused, flows stay on hold and start again when you resume it.

Common issues

The candidate moved to To be hired but didn't receive anything. Check that their campaign, or the campaign's job role, is among the ones selected. Check that the chosen status is exactly that one. Make sure the collection is Active and not Paused.

I set the collection on the job role but an existing campaign doesn't use it. The job role setting applies to new campaigns. Configure it from the campaign in Linked collection.
