Updated on Oct 12, 2026
A collection's details show all participants, where they are, and what you can do for each one.
Where to find it: Pre-onboarding → Collections → click the collection name → Participants tab
What you see
- Status filters, with the number of participants: All, To contact, Form sent, Form completed, Form expired and the other statuses.
- The columns Contact, Stage, Conversation (with View conversation) and Linked campaign.
- At the top, the Add contacts button.

Participant statuses
| Status | What it means |
|---|---|
| To contact | The candidate hasn't been contacted yet. |
| Form sent | The candidate has received the link to the form. |
| Form completed | The candidate has submitted their answers. |
| Form expired | The candidate didn't fill in the form within a week of it being sent. |
| Waiting for approval | You need to approve sending the contract. |
| Offer signed | The contract has been signed. |
Steps: open a participant
- Click View conversation on the candidate's row.
- Read the form answers with View responses.
- Check the contract and the Participants signing status.
Good to know
- You can't change the status in a collection manually: this isn't supported yet.
- You can send the contract once the form is completed. See How to approve and send the contract to the candidate.
Common issues
The candidate is stuck on Waiting for approval. The contract is waiting for your approval. Open the conversation or the notification and click Send contract.
The candidate is in Form expired. A week has passed since sending without them filling in the form. The form can't be sent again.
