What a Form is and how the candidate fills it in
The form the candidate receives on WhatsApp to send the data needed for the contract. What they see and what happens after they submit it.

A Form is the digital form the candidate receives on WhatsApp. It collects the data needed for the employment contract.
Where to find it: Pre-onboarding → Forms
Two different kinds of form
- Pre-onboarding → Forms: onboarding forms, which the candidate fills in after selection. These are the ones this article covers.
- Settings → Templates → Forms: the Form templates with the questions to show candidates while they apply. They have nothing to do with collections.
What it's for
The form data automatically fills in the linked contract. This way you don't have to copy it over and you reduce errors. Typical fields: full name, date of birth, tax code, home address.

Form statuses
- Draft: the form isn't complete yet.
- Ready: you can use it in a collection.
- Deleted: it can no longer be sent to candidates.
Each card shows the number of fields and, if there is one, the contract the form is Linked to.
Who fills in what
- The candidate's fields are filled in by the candidate in the form.
- You fill in the recruiter's fields before sending the contract. They don't appear in the form.
What the candidate sees
- They receive a WhatsApp message with the text of the Form submission message and the link.
- They open the link: a web page opens with the fields to fill in.
- They fill in the fields from their phone or another device.
- They submit the form.
What happens after submission
- The candidate moves to the Form completed status.
- In Inbox you'll find the meta message with View responses.
- If the collection also includes the contract, the flow moves on to contract approval.
- If the candidate doesn't fill in the form within a week of it being sent, the status changes to Form expired.
Good to know
- If you delete a form linked to a contract, the contract is deleted too.
