What a Contract is and where to find the signed contract

The PDF that the candidate and the HR manager sign digitally through the e-signature provider; where to see the signed contract.

Updated on Oct 12, 2026

A Contract is the document the candidate signs digitally to formalize the hire. If required, the HR manager signs too.

Where to find it: Pre-onboarding → Contracts

List of contracts with status, fields and linked form

What a contract is made of

  • A PDF document that you upload.
  • Fields that are filled in with the candidate's data or with data you enter.
    • The candidate's fields come from the form. The form is created automatically.
    • You fill in the recruiter's fields before sending.
  • At least one Signature field for each signer.

Who signs

Contract statuses

Draft, Ready, Deleted. Each card shows the File name, the number of fields and the linked form.

The signature provider

  • Signing goes through an e-signature provider, such as DocuSeal or YouSign.
  • The Klaaryo team connects the provider, based on your company's choice. With YouSign, Klaaryo connects to the YouSign workspace your company already has. With DocuSeal you don't need a workspace: if you don't have your own account, documents are signed with the Shared Klaaryo account. You can see the connected provider in Settings → Integrations → E-signature.
  • You can require an identity check before signing: see Two-factor authentication (2FA) in How to choose who signs the contract and in what order.

Where to find the signed contract

  • In Inbox: in the collection conversation, in the Participants signing status box. Click View contract.
  • In the collection details: click View conversation on the candidate's row.

The candidate's status changes to Offer signed and the collection shows Collection completed.

Good to know

  • If you delete a contract linked to a form, the form is deleted too.
