Applicant and prospect: the flow starting status

Which ATS statuses start the flow for people who applied and the one for people to re-contact.

Updated on Oct 12, 2026

Klaaryo has two conversation flows:

  • Applicant: the candidate applied for the position. This is the classic case.
  • Prospect: a candidate to re-engage, who didn't actively apply for the position you're contacting them about.

With the flow starting status you decide which statuses in your ATS put the candidate into one flow or the other.

Where to find it: Settings → Integrations → ATS → gear icon → Settings → Flow start status

The statuses that start the applicant flow and the prospect flow

Steps

  1. In Applicant flow statuses, open Add ATS status and choose the ATS statuses of candidates who applied. Usually it's the initial status, for example "New application".
  2. In Prospect flow statuses, choose the statuses of candidates to re-contact.
  3. To remove a status, click the x on its name.
  4. Click Save changes.

How it works

  • All candidates come in with the Default candidate type, usually Applicant.
  • Candidates who are in the ATS statuses listed in Prospect flow statuses come in as prospects.
  • If you leave the lists empty, all new candidates are imported with the default candidate type.
  • If you can't find the statuses in the menu, first sync the ATS statuses with Refresh statuses in Status mapping.

Good to know

  • With some ATSs only one of the two lists appears, because the other isn't needed: for example, with nCore you only see Prospect flow statuses.
  • With SAP SuccessFactors, Stage required on all applications also appears: you use it when you need to look at the candidate's history, to check that they are, or aren't, in a certain status in past applications too.

Common issues

A candidate came in as a prospect but had applied. Check which status they were in in the ATS at the time of import and whether that status is in Prospect flow statuses.
