How a candidate in several campaigns works
The order in which the agent contacts people who apply to several positions, the timing for moving on, and how answers are remembered.
Updated on Oct 12, 2026
If a person applies to several campaigns, the agent doesn't contact them for all of them at once. It starts from the oldest application and moves to the next one based on the outcome.
How it works
- The agent contacts the candidate for the oldest application.
- The other applications stay in the queue.
- When the first one has an outcome, the agent moves to the next one following the rules below.
| Outcome of the first application | What happens to the others |
|---|---|
| Suitable, with slots available | They are offered the interview right away. The other applications stay in the queue. They only expire if a time limit for applications is set in the settings (an ATS setting). |
| Suitable, with no slots available | They wait for a slot for up to 7 days. Then the agent moves to the next application. |
| Not suitable | The agent contacts them for the next application after 2 hours. |
| In progress (hasn't finished answering) | The other applications stay in the queue. They only expire if a time limit for applications is set in the settings. |
| No reply (no answer 48 hours after our last message) | The agent moves to the next application. |
Good to know
- Klaaryo remembers the candidate's answers for 60 days. When moving to another campaign, it doesn't repeat the questions already asked. It only asks the campaign's new ones.
- After 60 days the memory expires: if the candidate applies again, the questions start over.
- The agent skips a question only if it is sure the candidate has already answered it.
- In Inbox there is only one conversation with a person, even if they are in several campaigns. See How conversations work: threads, channels and multiple campaigns.
Common issues
Why does the candidate stay in To contact? They are in the queue: the agent is evaluating them in another campaign. Look for them in Inbox: if there is an active conversation in another campaign, that's the reason. If it's urgent, stop that evaluation and schedule the application you care about as the next one. Read "Candidates who don't come in or stay “To contact”".
Why didn't the agent ask some questions? The candidate had already answered them in another campaign in the last 60 days.
I can't invite the candidate to an interview. If they are answering another campaign's questions, you can't invite them until they finish.
Can I move several candidates to another campaign? Yes, from the Talent pool: select the candidates and use Add to campaign in the bottom bar. See Talent pool: find a candidate and add them to another campaign.
