How to manage a campaign's candidates

Filter and search candidates, change their status, see CV and conversation, and use the chat's quick actions.

Updated on Oct 12, 2026

In the Candidates tab you see all the campaign's candidates, their evaluation outcome and their status. From here you open the conversation, see the CV and change the status.

Where to find it: Campaigns → open the campaign → Candidates tab

Candidates tab with the row menu open

What you'll find in the table

  • Person: the candidate's name. The … button next to it opens View CV and Change stage.
  • Suggested action: for example View conversation.
  • Evaluation outcome: the evaluation score and the number of messages. If the evaluation isn't finished yet, you see Data not found.
  • Pipeline stage: the current status, which you can change from the drop-down menu.
  • Interview: the date of the booked interview, if there is one.
  • Interview outcome: the outcome given by the interview manager after the interview (for example suitable or not suitable). Until there is one, you see Data not found.
  1. At the top, choose the period (e.g. Last 3 months).
  2. Use Search by name or phone to find a candidate.
  3. Use the status filter (All) to see only the candidates in one status.

Change a candidate's status

  1. Click the status in the Pipeline stage column, or open … → Change stage.
  2. Choose the new status (e.g. Contacted, Waiting for interview, Not a fit - manual).

When you manually set a candidate as Not a fit - manual, the agent sends them the manual rejection template. See How to customize interview outcome and closing messages. The meaning of each status is in Candidate statuses: what they mean and how to correct them.

Quick actions in the chat

Click View conversation to open the chat. At the top, the lightning icon opens the Quick actions: they let you force an action on that chat.

Quick actions in the candidate's chat

ActionWhat it does
Stop assessmentStops the conversation. You assign the evaluation result yourself.
Invite to interviewForces the interview invitation right away.
Close conversation and blacklist the candidateThe candidate gets a generic closing message. They can no longer be contacted for this or other positions.

Other chat actions (copying the number, stepping in with a template, viewing the CV) are in Other actions you can take from the candidate's chat.

Good to know

Common issues

I don't see the action to invite to an interview. The campaign is set to No interviews, or the candidate is at a stage where the action isn't available. See How to set up a campaign's interviews.

I invited the candidate but they can't see the slots. See I invited the candidate but they can't see the slots.

I gave the wrong outcome. Correct the status from Change stage. Messages already sent to the candidate can't be undone. This also applies to an interview outcome: the interview manager can't change it from the interview card; an admin user corrects it by changing the status from here.

The candidate stays in To contact. They may be in the queue for another campaign. See How a candidate in several campaigns works.

Why did the agent discard the candidate? Open the conversation and read the evaluation. See Why did the agent discard a candidate?.

The candidate's phone number is wrong. Correct it from the Talent pool, with the pencil in the Phone column. See Talent pool: find a candidate and add them to another campaign.

Can I export a campaign's candidates? No, not by campaign. You can download the candidates of an interview session as a CSV, from the session menu. See How to create and manage interview sessions.
