I invited the candidate but they can't see the slots
Why an interview session shows as "Not bookable" and how to make it available to candidates again.
Updated on Oct 12, 2026
Where to find it: Agenda → sessions. At the bottom, each session shows whether it's Bookable (green) or Not bookable (red).
How to find the reason
Hover over the Not bookable label: the message explains why candidates can't book that slot. In the example, the session is "Outside booking limits — Too last-minute · minimum 1 day notice".

Most common reasons and what to do
| Reason | What to do |
|---|---|
| Too last-minute: the slot is closer than the minimum booking notice | Add slots further out, or reduce the minimum notice in Settings → Interviews → Interview rules (article 3) |
| Too far out: the slot goes beyond the maximum lead time | Increase the maximum lead time or create the session later on |
| Session full: all spots are booked | Increase the number of spots or create a new session |
| Campaign paused or no campaign linked to the session | Reactivate the campaign or link the session to the right position |
Sessions with few bookings
If a session is less than 30% booked and is coming up soon, Klaaryo flags it on the card with the Recover candidates button. The button opens the campaign on the Candidates tab, already filtered on suitable candidates waiting for an invitation and on unsuitable ones. Select the candidates you want to recover and click Invite to interview in the bottom bar.

Why a candidate gets no slots even when there are bookable sessions
- Distance: the agent only offers slots at the locations closest to the candidate, within 300 km of where they are. If no useful session is close enough, the invitation isn't sent.
- Already canceled: anyone who canceled an interview for this position doesn't get new slots. If you want to recover them, invite them by hand from the Inbox or offer them another position.
- Slots already offered: the agent doesn't offer slots it has already offered, and it tells the candidate so.
When you add new availability or reactivate a campaign, invitations to waiting candidates may all go out at once.
Common issues
- The candidate replied to the invitation but gets no options. All of the campaign's sessions are not bookable for them at that moment: check the labels in the agenda.
- I just created the session for tomorrow morning. With a minimum notice of 1 day, the session isn't bookable: this is the most common case.
