How to create and manage interview sessions

Create a session with date, times, recurrence, positions, type (On-site, Call, Video), group type and slots; edit it, download its data or cancel it.

Updated on Oct 12, 2026

A session is a block of time when you run interviews, split into slots that candidates book. You create it from Manage my interviews. Interview managers create it from their own platform, with Create new session on the Home page: see the collection "For interview managers".

Where to find it: sidebar → Recruiting → Interviews → Manage my interviews

Before you start

Steps

  1. Click Create new session at the top, or the + button at the bottom right. The New session panel opens.
  2. If the session repeats, turn on Make the session recurring.
  3. Under When?, choose the date and time (from, to). To add more dates, click Add another session.
  4. Under For which positions?, choose the positions the session applies to.
  5. Under Type, choose On-site, Call or Video.
  6. Under Interview location, choose the location. The field becomes active after you choose a position.
  7. Under Group type, choose Individual or Group.
  8. Choose the Slot duration: 15, 30 or 60 minutes.
  9. Set the number of candidates per slot with the slider.
  10. Click Create. You'll see Interview session created!.

Individual or Group

  • Individual: each slot is split into micro-slots based on the duration you chose. Each candidate books the time they prefer.
  • Group: several candidates take part in the same interview. They all get the same time to join the session, and for each slot you choose how many candidates to accept. For large sessions, see Group sessions of up to 250 candidates.

Manage a session you already created

Only the manager who created a session can edit or cancel it and its interviews. Other users, recruiters included, can see it but can't edit it.

  1. Click the session: the Interview session panel opens with the date, booked interviews, See interviews and CVs and the details (Date, Slot time, Type, Interview location, Interview duration, Number of candidates for this session).
  2. Open the "…" menu at the top of the panel.
  3. Choose the action:
    • Download session data;
    • Edit;
    • Cancel: cancels only this session;
    • Cancel this and following: for recurring sessions.

Good to know

  • If you edit a session created from a recurring availability, the session is detached from the series.
  • When you edit a session, candidates who already booked get the new details.
  • You can create sessions that overlap with others: the app asks you to confirm and shows you which session overlaps.
  • Capacity depends on the number of slots and candidates per slot. You can see it in the Capacity level bar.
  • The session's time zone shows on the card (e.g. Europe/Rome). See How to set the time zone.
  • The calendar event shows the campaign location and the interview link.
  • Minimum and maximum notice, the rescheduling limit and the reasons a slot can't be booked are in Interview rules: booking window, rescheduling and confirmations.
  • If your calendar is connected and conflict checking is on, slots that overlap with your commitments aren't offered.

Common issues

I can't create the session: "position paused". If the position's campaign is paused, you can't create sessions. Reactivate it or choose another position. See Pause a campaign.

I can't create the session: "No assigned campaign". You're not the manager of any active campaign for that position or location. Ask an admin to assign it to you.

I can't choose the location. First choose the position under For which positions?: Interview location shows the locations of the selected positions.

Candidates arrive at the wrong time. Check the time zone shown on the session card.

I created the session but the candidate can't see the slots. See I invited the candidate but they can't see the slots.

I need to move a single interview. In the interviews view, open the interview, "…" menu → Reschedule interview. Only the session manager can do this.
