How to connect Google Calendar or Outlook to Klaaryo
Connect your calendar to avoid double bookings with your other commitments and to add interview events automatically.
Updated on Oct 12, 2026
When you connect Google Calendar or Outlook, Klaaryo doesn't offer candidates the times when you're busy. It also adds interview events to your calendar.
Where to find it: Settings → Integrations → Calendar
Steps
- Go to Settings → Integrations → Calendar. The page is called Calendar linking.
- Click Connect next to Google Calendar (Gmail, G Suite) or Outlook Calendar (Office 365, Outlook.com).
- Sign in with your account and authorize Klaaryo.
- Go back to Klaaryo: the account shows the status Connected.
- Under Check conflicts, click Manage and choose the calendars to check for conflicts.
- Turn on Add events if you want scheduled interviews to show up in your calendar.

How Klaaryo uses your calendar
- Check conflicts: reads the events in the selected calendars and avoids double bookings. Candidates only see free times.
- Add events: when a candidate books, Klaaryo creates the event in the connected calendar.
- The event includes the interview details, the campaign location and the interview link. From the interview card you can open it with See on calendar.
Good to know
- You can connect only one calendar per user.
- After connecting, check which calendars are selected for conflicts. Choose only the ones that matter, for example not the holidays calendar.
- Events marked as Busy or Out of office count as commitments.
- Every change to your calendar updates your availability.
- Conflict checking only matters for people who run interviews.
- You can disconnect your calendar at any time with Disconnect.
If your calendar gets disconnected
Klaaryo can lose the connection to your calendar, for example after you change your account password, after a long period without use, or because of your company account's security rules. You'll notice because the calendar no longer shows as Connected on the page and new interviews don't appear in your calendar.
- Go to Settings → Integrations → Calendar.
- Click Disconnect and connect the calendar again.
- Check that Check conflicts and Add events are turned on.
Outlook: IT approval needed
In many companies, the Microsoft 365 account doesn't allow connecting external apps without an administrator's consent. If Microsoft asks for an administrator's approval while you connect, or the page reloads without connecting the calendar, ask your IT department to approve Klaaryo for the company account. Then connect again.
Common issues
The interview doesn't show up in Outlook or Google Calendar. Check that Add events is turned on and that the calendar shows as Connected. If that doesn't help, disconnect and reconnect the calendar.
Candidates book at times when I'm busy. Under Check conflicts → Manage, check that you selected the right calendar.
The event doesn't have the interview address. The event shows the campaign location. Check the location in the campaign settings. See also Change the location name the candidate sees.
Can I connect two calendars, a personal one and a work one? No, you can connect only one calendar account per user.
