User roles and permissions: what each role sees
Admin, recruiter and interview manager: what each one sees and can do, how to add a user and give them visibility.
Updated on Oct 12, 2026
In Klaaryo every user has a user role. The user role decides what they see and what they can do in the app.
Where to find it: Settings → Organization → Staff. For access to campaigns: Manage collaborators in Campaigns or at the bottom of the sidebar.
What each role sees
| User role | What they see | What they can do |
|---|---|---|
| Admin | Everything: campaigns, candidates, settings. | Sets up the workspace, manages people and permissions. Fixes a wrong interview outcome by changing the candidate's status in the campaign. |
| Recruiter | Only the campaigns where they are a collaborator. | Creates and manages campaigns, follows candidates, sees interviews. Can't reschedule or cancel an interview manager's interviews. |
| Interview manager (store manager, hiring manager) | Their sessions, their interviews and the positions at their locations. | Opens sessions, does interviews, gives feedback. They are the only one who can reschedule or cancel the interviews in their sessions. Doesn't manage campaigns. |
Staff permissions follow the job title
- Each employee can have a job title. Their permissions follow the job title, with no need to set them person by person.
- With the Hiring manager flag, the person can manage applications for campaigns.
- With the Supervisor flag, they do performance reviews of other people (Performance module).
- See What a Job title is.
How to add a user
- Interview manager: from Staff → New employee. See How to add an interview manager.
- Campaign collaborator: the campaign's … menu → Collaborators, or Manage collaborators for several campaigns at once.
- Recruiter or admin: ask your Klaaryo contact, giving their name and email. You can't add them yourself.
How to give visibility on some locations only
- Link the interview manager only to the locations they need.
- The locations they are linked to are the only ones they can choose as the interview place.
What the interview manager sees about a candidate
- The questions that matter for the evaluation, with the candidate's answers.
- The evaluation: eligibility, filters passed and the level for each criterion.
- The candidate's CV.
- The Support item, to write to the Klaaryo team.
The interview manager doesn't see the candidate's chat with the agent. They get everything in the evaluation PDF attached to the interview booking.

Good to know
- If you delete an interview manager, their user account is deactivated and their future interviews are canceled.
- To change a campaign's interview manager, use Replace Manager in the campaign's Interviews tab: you choose whether to hand over the interviews already booked or cancel them.
- There is no read-only user role, for example for senior management or an area manager.
Common issues
Can I see the platform the way an interview manager sees it and then go back to admin? Yes. Copy their link from Staff with Copy access link. Open it in another tab, in incognito or on a smartphone. Klaaryo supports different accounts in different browser tabs.
The interview manager can't see their campaigns. See The interview manager can't log in or can't see their campaigns.
